Do you require special training or certification to be a Transcription Vendors transcriptionist?

The only qualifying criteria REQUIRED is that you pass our registration test and you agree to our Terms & Conditions, including our fee schedule and non-disclosure agreement. Many of our transcriptionists do have additional credentials or have gone through training programs to help advance their education and transcription skills. Transcription Vendors recommends the certification program offered by the Transcription Certification Institute.


What is the difference between Regular membership and Premium membership?

Regular membership is designed for an independent transcriptionist interested in working directly for his/her clients and be able to provide the typical requirements of a professional transcription company, such as secured file upload, online credit card payment, etc.

Premium membership is designed for individuals who want operate like a transcription company and employ multiple transcriptionists to handle a larger volume of business. They are able to offer online credit card processing, secure file upload process, database management, etc., but do not want to run a full-blown transcription company.

Below are the specific features for both membership types.

         Regular Membership:

  • Have your own secure online folder where clients can upload files and their transcripts completed by you are stored.

  • Have a custom web profile of your professional transcriptionist business, contact information, and special services.

  • Your web profile is professionally optimized to be found in search engine results for common transcription service keywords and by prospective clients searching in your geographic area.

  • Are able to register your clients by paying $25 registration fee.

  • You charge client transcription company rates posted on the website (or your own stated fee structure), which is typically 100% higher than what transcription companies pay transcriptionists.

  • Your registered clients can upload a file for transcription.

  • You will be notified each time a new file is uploaded.

  • You will be able to download the voice file for transcription securely for transcription.

  • You upload the final transcript in the system using a unique number given to each voice file after completing your QA.

  • Client will be automatically notified once you have uploaded the transcript.

  • Client will be able to click on the link and pay for the transcript online at Transcription Vendors using any major credit card.

  • The transcript document will be securely emailed to the client upon successful payment.

  • Transcription Vendors will keep tabs on the payment to your account. You will be able to see the work completed by you by logging into your account.

  • Transcription Vendors will cut a check every other Friday for the work completed through the previous Friday, minus the 10% Transcription Vendors fee.

  • 3 months of FREE marketing support and weekly newsletters, and access to optional advanced business development programs.

         Premium Membership:

  • Have your own secure online folder where clients can upload files and their transcripts completed by you are stored.

  • Have a custom web profile of your professional transcriptionist business, contact information, and special services.

  • You are able to register your clients by paying a $25 registration fee.

  • You charge your client the transcription rates posted on the website or by your own stated fee structure.

  • You will be able to add qualified transcriptionists to your roster who have passed the Transcription Vendors test. You are welcome to contact transcriptionists on our roster to find out if they would like to work under you.

  • There is no fee for adding Transcription Vendors qualified transcriptionists. You sign your own contract with the transcriptionist concerning how much you pay them.

  • Your registered clients can upload a file for transcription.

  • You will be notified each time a new file is uploaded, and:

  • You can:

    1. Assign a file to a transcriptionist in your roster, who will be able to download the file by clicking on the file link, or

    2. Download the voice file for doing the transcription yourself.

    3. Send the file back to Transcription Vendors to assign and manage the job. TV will send you the completed file.

  • You upload the final transcript in the system using a unique number given to each voice file after completing your QA.

  • Client will be notified once you have uploaded the transcript.

  • Client will be able to click on the link and pay for the transcript online at Transcription Vendors using any major credit card.

  • The transcript document will be securely emailed to the client upon successful payments.

  • Transcription Vendors will keep tabs on the payment to your account. You will be able to see the work completed by you by logging into your account.

  • Transcription Vendors will cut a check every Monday for the work completed through the previous Friday, minus a 10% Transcription Vendors fee.

  • For an additional fee, Transcription Vendors can handle your billing for billable clients and payroll for your transcriptionists. Contact us for details.

How much work is guaranteed for me once I pass the test and register at Transcription Vendors?

Transcription Vendors cannot guarantee any income for the registered members. This platform is designed to help you build your own customer base and make higher wages for your work by cutting transcription companies from the middle.

I understand that you cannot guarantee work, but can you help us get work?

Yes, Transcription Vendors will help you get work by:

1.

  Optimizing your profile page in your local market for transcription related keywords.

2.

  Providing a custom, searchable profile designed to capture organic visits to the website from people looking for your skill set.

3.

  Work directly from Transcription Vendors (at our set rate).

4.

  Work from other Transcription Companies.

Can I change from a regular member to a premium and vice-versa?

Regular members can switch to a premium member by logging into their account and paying the premium membership fee.

Premier members can switch to a regular member only at the time of their membership renewal.. Sorry, there are no refunds.

Can my registration be canceled?

Yes, your membership will get cancelled if:

  • Your credit card declines for the monthly fee.

  • Your transcription quality is below par (98% accuracy) for three consecutive transcription projects.

  • If you are found to circumvent the percentage fee of your income to Transcription Vendors.

There will be no refund of membership fee if your registration is cancelled by Transcription Vendors.

How do I take the test for becoming a Transcription Vendors qualified transcriptionist?

Testing to become one of our qualified transcribers (transcriptionist) is easy. Follow these simple steps:

  1. Click on “Take Test”

  2. Fill out the form.

  3. Pay the fee for the test ($25).

  4. Voice files with instructions for transcribing will be sent to you.

  5. Transcribe the files according to the instructions given and send to us.

  6. We will check the accuracy and fail/pass you.

    1. If you pass, you will be mailed a welcome package.

    2. If you fail, you will be notified with the reason.

What happens if I fail the test? Can I take it again?

You can take another test after 30 days to re-qualify as a Transcription Vendors transcriptionist. You will need to pay the test fee again.

What is the transcriptionist registration process?

In order to register, you will need to pass the test. Below is the process:

  1. Pass test. You will be given a unique ID that will tell the system that you passed the test.

  2. Click on "Register" and enter your ID.

  3. Select the type of registration – Regular or Premium.

  4. Pay the required fee through online credit card processing.

  5. Upon completion, you will be able to register your clients and transcriptionists (if registered as a Premium member).

  6. Your registration document will be emailed to you. You will need to fill in the information and mail it to us before the committed work is sent to you or your payment is processed through our system.

How do I get paid for the transcription work that I have completed?

You will be paid every other Friday through direct deposit or check for the work completed through the previous Friday.

How much should I charge for my work?

We have listed the standard Transcription Vendors fee on the site that you can charge. However, you can negotiate your own price with your clients and enter the agreed upon rate when you upload the file. Transcription Vendors will charge the rate for you.

Transcription Vendors does not dictate any price rate to its registered transcriptionists.

How does your system work?

Transcription Vendors has developed an extensive testing process to qualify transcriptionists wanting to offer their transcription services through our website. The founders of Transcription Vendors have years of experience managing off-site transcriptionists worldwide for a leading transcription service provider. We have used our experience to create Transcription Vendors’ proprietary system!

  • You can get your files transcribed two ways.

    • Upload your files for transcription once you have registered, and Transcription Vendors will manage the project. Transcription Vendors will guarantee the quality of the transcripts, and accuracy of 98% or better.

    • You select a transcriptionist from the profiles listed and contact her/him. The transcriptionist creates your registration so that when you upload a file for transcription, the transcriptionist automatically gets the job.

  • Transcription Vendors qualifies transcriptionists looking to offer transcription services from their home office.

  • Each transcriptionist's profile is listed on the website so that you can find the best match for your needs.

  • Regardless of which method you choose, all jobs are guaranteed if it is paid through the Transcription Vendors website.

Where are your transcribers located? Do you outsource your work to other countries?

Transcription Vendors tests all transcriptionists and only allows qualified transcriptionists to register on the site, irrespective of what country they reside in.

You will find the country of the transcriptionist listed on the site. We do not offer any suggestions about transcriptionists. You will be able to see where they are located if you decide to contact one.

Most registered Transcription Vendors transcriptionists (about 95% currently) are based in the USA and Canada. However, it is possible work may be sent overseas unless you specifically mention that you prefer US based transcriptionists only. In any event, Transcription Vendors offers the same guarantees of all transcription work, regardless of the transcriptionists’ country of origin.

What audio formats are accepted?

We will work with almost any format of audio. We prefer digital files, simply because we send the audio files to transcribers through our secured website. If you have an audio file on a tape, then we will convert it into a digital file for a fee. Whatever your file format, we will help you get it transcribed.

Our system streamlines the process and cuts off the middleman, in this case transcription companies, which means lower cost to you and higher income for our registered transcriptionists. How do I know you’ll keep my sources confidential?

While no one can guarantee a 100% foolproof system of keeping your files confidential, Transcription Vendors has used several processes to help keep your files confidential. Below are some steps we take to insure confidentiality:

  1. All our transcribers sign a legally binding non-disclosure agreement, and agree to a strict Code of Ethics.

  2. We assign a file number to each audio, and transcribers use the file number as identification (they never know the client’s identity).

  3. We comply with all HIPAA requirements.
    4. We use a highly secure file transfer platform using the highest level of SSL security available.

Your audio files are uploaded to our website through a secure FTP. It is SSL-encrypted.

How do I pay for the transcription? How often do you bill me?

If Transcription Vendors is managing your transcription project, then you will be asked to pay 100% of the estimated fee once you have uploaded the file. Please note that Transcription Vendors guarantees the transcription quality and the timeline quoted to you upon placing your order*.
We will either redo the transcript or refund your money if our transcript fails quality criteria.

* If there is a problem with quality of the audio file submitted when reviewing your file, you will be notified before proceeding with the work of any changes in timeline and cost.

If you choose a registered transcriptionist to work with directly from our database, you will make your own payment arrangements with them. However, Transcription Vendors will guarantee your transcriptionist’s quality if you pay for the job through our website.

Can you handle large projects?

We will give you our time estimate for short turnaround times if your project is over five hours of recording. We can handle up to a 25-hour project using a longer (one week or more) turnaround time.

Should I send you my originals?

In the case of audiotapes or cassette formats, yes! We convert all audiotapes into digital format and will send your original tapes back to you. We advise that you make a copy of your master tapes just in case your tape gets lost or damaged in shipping. Also, please make certain to send, along with the media, a self-addressed, postage-paid (stamped) envelope/package in order to return the media.
